FOTML Officers & Committee Chairs: Roles & Responsibilities Officers

President: Preside over and conduct meetings of the Board; enter into agreements; prepare agenda for meetings of the Board; appoint committees; be an ex-officio member of all committees (except Nominating committee); act as or appoint a FOTML spokesperson for media requests.

Vice President: Act in the capacity of the President in the President’s absence; share leadership responsibilities with the President.

Treasurer: Have custody of the funds and securities of FOTML; keep regular books; pay out FOTML funds; email a current report to all members of the Board prior to regular meetings; present a brief Summary Treasurer’s Report of recent activity at regular meetings; file tax forms; pay the annual NJ State Incorporation Tax; pay Insurance Premiums; send receipts to all donors; act as chair of Finance Committee.

Recording Secretary: record attendance and take meeting minutes of the FOTML Board; email the agenda and minutes of the last FOTML Board meeting, as well as meeting affiliated, approved reports (i.e. Treasurer’s report, Library Director’s report), one week prior to regularly scheduled meetings; maintain a file of minutes for reference at future meetings; have charge of the corporate seal which is to be kept in the Library safe.

Corresponding Secretary: Manage email blasts; update/manage the websiteand social media outlets (Facebook, Instagram) in conjunction with Communications Committee; assure coordinated communication across all platforms; send thank you letters to donors who give $100+ donations; act as Recording Secretary in their absence.

Committee Chairs

Fundraising Chair: Work with a committee to brainstorm fundraising events/opportunities; review fundraising proposals; present fundraising proposals to the Board; coordinate with fundraiser point-person(s) to assure facilitation of fundraising events; use Volunteer Interest List to recruit volunteers for fundraisers when necessary.

Book Sales Chair: Lead coordination of the Annual Book Sale, held the 1st Saturday in October. See Book Sale Operations Handbook for details.

Finance Chair (Treasurer): Work with a committee to make decisions regarding the operating budget, investments, and various financial matters.

Membership Chair: Facilitate community outreach efforts to recruit new members; conduct the annual Membership Drive mailing, typically held late November - early January; manage Volunteer Interest List & coordinate volunteers for tabling events (i.e. MDA events; Farmer’s Market). Communications Chair (Corresponding Secretary): Work with a committee to create and manage membership correspondence.

Nominations Chair (Board Trustee/Officer, not up for nomination): In September/October, assemble a committee of Board members not up for nomination/active volunteers to nominate a slate for open Board positions, to be elected at the Annual Meeting in November.
